Are you someone who loves keeping things running smoothly, has a warm and welcoming personality, and thrives in a fast-paced environment? We’re looking for a Clinic Receptionist to become the smiling face and organised mind behind our clinic.
This role blends front-desk excellence with creative marketing responsibilities. Perfect for someone who’s equally at home welcoming clients as they are creating an engaging newsletter or Instagram post.
You’ll be working closely with and reporting directly to our Practice Manager, Skye Thomas.
🌿 About the Role
This is no ordinary admin role! As the Master of First and Last Impressions, you'll be the friendly first point of contact for our clients and a crucial support for our practitioners. You'll also play an important part in our clinic’s digital presence - managing content, helping build community engagement, and keeping our brand looking its best across all channels.
Every day will offer variety: from greeting clients and managing bookings, to formatting blog posts, creating newsletters and scheduling social media.
🗂 Key Responsibilities

Greet clients warmly and manage day-to-day clinic reception

Schedule appointments and manage client records

Process payments, billing, and basic bookkeeping tasks

General administration and support for the team

Upload and format blog posts for our website

Collate and send out a weekly email newsletter using Flodesk

Design visual content in Canva (for print and digital)

Create and schedule engaging posts and stories across Facebook and Instagram

Monitor and respond to messages and comments to support weekly engagement

Support the Practice Manager with marketing and promotions
🧠 You’ll Need

Experience in a clinic, reception, or admin-based role

Proficiency in using a Mac (Google Docs, Sheets etc)

Comfortable with bookings/practice management software

Strong written and verbal communication skills

Experience with Canva, Flodesk, Instagram, and Facebook

Confidence uploading and formatting content on websites (basic CMS skills)

An eye for design and a love for creating engaging content

Ability to multitask, prioritise, and stay organised
🎓 Qualifications

Completion of Higher School Certificate (or equivalent)

Experience with business systems and procedures

Prior experience in health, wellness, or allied health industries is a bonus
